About this policy

Fax Databases operates faxdatabases.com, a service for browsing and purchasing US business and professional fax-contact lists. This policy covers website visitors, customers and individuals whose professional details appear in our datasets. A person can have privacy rights in a database listing without having an account with us.

Information we handle

Account information includes your name, email address, account identifier and information used to authenticate you. If you choose Google sign-in, we receive the account information needed to sign you in. We also handle selected filters, saved audiences where used, order details, payment references, download status and support messages.

Our database contains available business names, professional names, job titles or specialties, business mailing details and fax numbers. Some source records contain professional identifiers, such as NPI, used to organize or distinguish records. Not every source field is included in a preview or download. Our medical-professional lists describe professionals, not patients or their treatment.

Technical information can include IP addresses, browser/device information, request logs and website activity. An IP address associated with checkout can be reviewed by authorized staff to investigate suspicious activity. It is one signal and is not proof that a payment is genuine or fraudulent.

Sources and purposes

We receive information when you interact with our website, authenticate, make a purchase or contact us. Payment providers supply transaction results and references. Hosting and security services generate technical records. The contact database is compiled from imported business and professional datasets; inclusion does not mean an individual has created an account or consented to receive advertisements.

We use this information to operate the list builder, produce quotes, manage accounts, review orders, prepare files, provide support and protect the service from fraud or automated extraction. Business contact information can still identify an individual and is not treated as anonymous merely because it concerns their work.

Previews and paid lists

Visitors can view a limited record preview without signing in. Fax numbers are partially masked, while other displayed fields may identify a business or professional. Masking a fax number does not anonymize the entire record.

We license contact lists to purchasing customers for payment. Those disclosures can be a sale of personal information under applicable privacy law. Our customer-account information is handled to operate the service; purchasing a list is a different activity from being included in one.

Recipients of a purchased list are responsible for their own lawful processing and communications. Our licence does not establish advertising consent or authorize them to disregard privacy requests.

Service providers and other disclosures

Authorized staff access information needed for customer service, payment review, file preparation and security. We use Google/Firebase services for authentication and data infrastructure and Vercel for website/API hosting. The payment service presented at checkout processes the payment and supplies transaction information. Do not send payment passwords, card security codes or complete card details through Contact Us.

Website monitoring includes ClickCease. Google Analytics and Google Tag Manager may operate when configured. The contact form uses Google reCAPTCHA. See our Cookie and Website Technology Notice for more information. Service providers can process information under their own policies as well as applicable arrangements with us.

We may disclose relevant information when required by law, to investigate fraud or security incidents, to protect legal rights, or as part of a business transfer subject to applicable protections. A payment or infrastructure provider may have independent legal responsibilities; not every recipient acts only on our instructions.

Storage, retention and security

Information may be processed in the United States and other locations where our providers operate. Applicable international-transfer requirements depend on the information, provider and law involved. We do not claim a particular certification or transfer exemption merely because we use a cloud provider.

Retention depends on the purpose of the record: maintaining account access, fulfilling and documenting orders, resolving support matters, protecting the service, handling privacy requests and meeting applicable legal obligations. Source datasets and cached results support the list service and are separate from customer account records. A minimal record of a privacy request may be needed to document its handling or avoid reversing an opt-out.

An expired download link does not mean the underlying dataset, account, transaction or backups have been deleted. My Orders shows file availability. Authentication and restricted download access help protect purchases, but no system or transmission method is completely secure. We do not promise that every visitor IP address is automatically anonymized.

Your choices and requests

Use Contact Us with a subject such as “Privacy request,” “Correct my listing,” or “Do not sell my information.” Tell us whether you mean an account or a database listing and provide enough detail to locate it. A business name, state and relevant record details can help. Do not include a government ID or unrelated sensitive information in your initial request.

Depending on applicable law, you may request access, correction, deletion, restriction or an opt-out. We may need proportionate verification before disclosing or deleting information. We use the reply address you provide to handle your request. Sending a support message does not itself sign you up for promotional messages. This policy will show its revised date when updated; changes do not by themselves authorize an incompatible new use of previously collected information.
